A simple customer loyalty program for a small shop: set points, redemption value, minimum redeem, expiry and points on receipts with the Bakasir Loyalty plugin.

Returning customers are usually cheaper to keep than new ones are to win. A simple customer loyalty program does not need plastic cards or a complicated app: a phone number, points that grow with each purchase, and a reward in the form of a discount are enough. This article explains how to set up a points and membership program with the Loyalty & Membership plugin in Bakasir.

Customer loyalty program: what Bakasir points do

When the Loyalty & Membership plugin is active and the program is switched on:

  • Customers marked as members earn points on every completed sale.
  • At the register, points are redeemed as a discount in the payment window.
  • Every points movement is recorded in a points ledger, so a balance can be traced.
  • Voiding or refunding a sale takes back the points earned and returns the points redeemed.

Only customers who are members earn and redeem points. Anonymous customers can still be served as walk-ins as usual.

The settings to fill in

Open Sales > Customers, tap Loyalty and switch on Enable Loyalty Program. A few numbers define the value of your program:

SettingMeaning
Earn RateHow much a customer spends to earn 1 point
Redemption ValueWhat 1 point is worth when redeemed
Minimum Points to RedeemThe minimum balance before points can be redeemed
Points ExpiryNever, 6 Months or 12 Months
Show Points on ReceiptPrints the points balance on the receipt

A worked example (illustrative numbers)

Suppose the Earn Rate is Rp10,000 per point, the Redemption Value is Rp100 per point, and the minimum to redeem is 50 points.

  • A purchase of Rp10,000 earns 1 point worth Rp100, an effective reward of about 1 percent of spending.
  • A purchase of Rp150,000 earns 15 points.
  • After several visits the customer collects 50 points and redeems them for a Rp5,000 discount.

Start with a small reward. You can always raise it if the program works, while lowering it after customers are used to it feels like taking a gift away. Check your margins first with the COGS and gross profit guide. Also choose an expiry: Never is simplest, while 6 or 12 months nudges customers to return and caps old balances.

Capturing customers quickly at the register

A points program only works if the customer is selected during the sale. Get cashiers into the habit of asking for a phone number or name at the start, then searching in the customer box (F4 in the Desktop app). A found member shows their points balance. In the payment window, the cashier uses Redeem Points, enters the number of points, and Points discount shows how much the total goes down.

Before that, register customers in Sales > Customers > Add Customer: enter the name, WhatsApp number and email. The WhatsApp number and email let you send receipts. For a customer list already in a spreadsheet, Import customers accepts a CSV file with columns such as name, email, phone and whatsapp. Existing customers are skipped, never overwritten. The guide is manage customers and loyalty.

Correcting and monitoring points

From a customer's actions menu, Points Ledger lists every points movement, and Adjust points corrects a balance with a reason, for example after an entry mistake. Use the customer reports to see visits and total spend, and compare active members with those who rarely come.

Combining it with promotions

Points differ from automatic promotions: points are redeemed by the customer at the register, while promotions are applied by rules. Both can coexist, but remember that a manual discount replaces automatic promotions on the same sale. The full rules are in promotions and discounts that do not lose you money.

Good to know before you start

  • Customer groups such as regular, premium or vip are labels for sorting the list. The documentation does not describe automatic tier upgrades based on spending.
  • The program does not send automatic marketing messages. You can still use customers' WhatsApp numbers by hand, keeping in mind customers' consent to marketing communication.
  • Customers are shared across all your outlets, so points earned at one branch can be used at another.

Plans and cost

The Loyalty & Membership plugin is included in the Tumbuh and Enterprise plans. On the Mulai plan it is a paid add-on at Rp79,000 per month according to the pricing data at the time of writing. The Free plan does not include paid plugins. Always check the pricing page.

How to start and measure the results

  1. Mark customers as members the first time they buy, and save their WhatsApp number.
  2. Announce the program. Switch on Show Points on Receipt so customers see their points balance every time they shop.
  3. Train cashiers to ask for a name or phone number at the start of the sale.
  4. Measure the results. After a month, look at how many sales used a registered customer, how many customers came back, and how many points were redeemed. Visit and spend data is in the customer reports, and points movements in the Points Ledger.

Tell customers that their name and phone number are used for the points program. Treat that as personal data: keep only what you need and do not share it.

Next steps

Run the program for a month with a small reward, ask cashiers to record the customer on every sale, then review what share of sales used a registered customer. Start by creating an account.

Voiding or refunding takes back the points earned from that sale and returns the points the customer redeemed.

Can points expire?

Yes. You choose an expiry of Never, 6 months or 12 months in the Loyalty settings.
