A POS for cafes and coffee shops: menu modifiers, table maps, kitchen tickets, the kitchen display (KDS), and dine-in, take away and delivery orders.

A cafe runs on a different rhythm from an ordinary shop. One cup of coffee can have five variations, guests sit down and order twice, and the barista and cashier work in different places. A POS for cafes has to handle all of that without clogging the queue. This article covers what a coffee shop needs and how to set it up in Bakasir: modifiers, tables, kitchen tickets and orders.

A POS for cafes: pick the layout that fits your service style

Bakasir has two layouts relevant to cafes:

  • Coffee Shop or Bar. A quick drink grid, a running orders list and a Hold Order button. Suited to cafes where guests pay at the counter and pick up.
  • Restaurant. Starts from a floor plan, with dine-in, take away and delivery orders, per-item notes and a Send to Kitchen button. Suited to cafes that serve at the table.

The starting layout follows the business type you chose at sign-up, and you can change it with the POS Style button. See the Web POS overview for the full picture.

Modifiers: size, sugar, ice and add-ons

Modifiers are the choices attached to a menu item. Open Catalog → Modifiers and create groups such as "Size", "Sugar level" or "Toppings". For each group you set:

  • Selection rule: choose any number, at most N, exactly N, or at least N. A group can be marked Required, so the item cannot enter the cart until the choice is made.
  • A price difference per option. Options like an extra shot or oat milk can add to the price. The add-on is included in the unit price.
  • Ingredients used. An option can reduce ingredient stock, for example an oat milk option deducting oat milk stock each time it is sold.
  • Applies to. Link a group to specific products or to a whole category, so a single "Size" group covers every coffee.

The cashier simply taps the menu item and picks the options, and reports record which modifiers sold. Past sales keep the modifiers as they were sold, even if the group changes later.

Recipes and bundles for raw material tracking

When you add a product you can choose the type With recipe. List the ingredients used for one serving (ingredients must be stocked products). There are two modes:

  • Deduct ingredients when sold. Each sale cuts ingredient stock, and the finished product has no stock of its own. Good for drinks made to order.
  • Manual production (batch). Ingredients are used when you log a production run, which adds finished stock. Good for bread or cold brew made in bulk.

The Bundle type sells several products at a package price, such as "coffee plus croissant". Stock comes from the components, and the bundle counts as out of stock when any component runs out.

Floor plan and dine-in orders

For table service, open Settings → POS as the Owner and turn on dine-in or take away and table management. On the Restaurant screen, click Add table and enter the name, floor and seat count. The flow:

  1. Tap an empty table. Its status becomes Occupied.
  2. Choose Dine-In, Take Away or Delivery if that option is on.
  3. Add menu items, choose modifiers and write a note for the kitchen.
  4. Tap Send to Kitchen. Guests order more? Add the new items and send again; unsent items are marked New and changed ones are marked Changed.
  5. Tap Pay. To divide the bill, switch on the split bill option in settings and use Split Bill. Once paid, the table becomes available again.

Tables have four statuses (Available, Occupied, Reserved, Billed), and you can move or merge tables when guests change seats. The detailed steps are in the tables and kitchen orders guide.

The kitchen: tickets, printer and kitchen display (KDS)

Each time you press Send to Kitchen, Bakasir creates a kitchen ticket. Where that ticket shows up depends on the device:

  • The Desktop app (Windows) prints the ticket on a kitchen printer and has a Kitchen display with three columns: New, Cooking and Ready to serve, including waiting time in minutes. A computer in the kitchen is paired with the Kitchen display role so it opens straight after sign-in.
  • Web POS creates the ticket but has no kitchen screen of its own. For now the ticket is displayed by the Desktop app, so your kitchen needs one Windows computer.

Make sure you understand this limit before buying equipment. Device setup is covered on the Desktop hardware page.

Take away, delivery and online orders

Orders without a table go through the Take Away or Delivery buttons. If you also run an online store, web orders arrive in E-Commerce → Online Orders and appear in the Desktop app's Online orders tile with the statuses New, Processing, Shipped and Completed. A Coffee Shop store template is available for a warm menu look. See an online store connected to your POS stock.

Which plan a cafe needs

The basic register, modifiers, recipes and the Coffee Shop layout are available without extra plugins. Table management and the kitchen display are part of the Tumbuh plan. Promotions start at the Mulai plan, and loyalty (member points) is in the Tumbuh plan. Dynamic QRIS starts at the Mulai plan; read about payment options in the QRIS at the register article. Check current numbers on the pricing page.

Service charge and rounding

Many cafes add a service charge to dine-in orders. In Settings → POS you can configure a service charge (percentage, which order types it applies to, and whether it is taxed) as well as cashier rounding to a set step. Enable them to match your cafe's policy, and run one test transaction before customers see it.

Next steps

Start by building your menu and modifiers, add a few tables, then test one order from table to payment. If you want to watch sales by peak hour and best sellers, read the daily sales report checklist.

Frequently asked questions

Does a small cafe without tables need the floor plan?

No. A pay-at-the-counter cafe can use the Coffee Shop or Bar layout with modifiers. Turn on table management only if you serve guests at tables.

Can modifiers reduce ingredient stock such as milk or syrup?

Yes. Each modifier option can carry ingredients that are deducted per unit sold, and products with a recipe can cut ingredients when sold. Ingredients must be created as stocked products.

Can the kitchen use an Android tablet as a kitchen display?

Today the kitchen display (KDS) is in the Windows Desktop app. The Android app and Web POS can send orders to the kitchen, but the kitchen-facing screen lives in Desktop.
