Manage store staff neatly: set roles and cashier PINs, shifts, attendance, leave, plus simple payroll records and payslips with Bakasir's HRM plugin.

Staff are the biggest cost and the most important asset of many small businesses, yet they are often managed with a notebook and a group chat. Attendance is logged by hand, shift schedules keep changing, and payslips are rushed at month end. This article shows how to manage store staff with Bakasir: from cashier accounts and roles, shifts and attendance, to leave and simple payroll through the HRM plugin.

Managing store staff starts with clear accounts, roles and PINs

Everyone who works with Bakasir has their own account. In Staff → Staff List, click New Staff, fill in name, email and phone, then choose the outlet the person works at and their role. There are three fixed roles:

RoleAccess overview
OwnerFull access, including plugins and billing
ManagerDashboard, reports, products, inventory, purchasing; manages Staff accounts only; settings are view-only
Staff (cashier)Sells; sees only their own sales; manual discounts, refunds and voids need approval

For the Desktop and Android cashier apps, each person gets an operator PIN of 6 to 12 digits through the Set operator PIN action. PINs must be unique per person and separate from the password. Desktop can also use an RFID or NFC card as a login badge. A good principle: give the smallest role that works. Use Manager only for people who must approve discounts and view reports. Details are in the guide to managing your team.

Staff limits per plan

The number of staff is limited by your plan, per outlet. The Free plan covers the owner plus one cashier; Mulai allows three staff per outlet; Tumbuh allows ten staff per outlet. An extra staff seat is Rp15,000 per month. Bakasir tells you when the limit is reached. Prices and limits can change, so check the pricing page.

Work shifts: start time, breaks and tolerance

Open Staff → Work Shifts and click Add Shift. Set the shift name, start time, end time, breaks and lateness tolerance. Switch on Night Shift for a shift that crosses midnight. Once shifts exist, assign one to each member when creating or editing their account. The Dashboard has a Shift card that compares sales per shift, so you can see which shift is most productive.

Attendance: from the monthly grid to clocking in at the register

Attendance appears in Staff → Attendance as a monthly grid for each team member with the statuses Present, Absent, Late, Half Day, On Leave, Holiday, Day Off and Work from home. Here is how it gets filled:

  • Cashiers clock in and out directly from the Desktop or Android app. The Home screen shows since when they have been in.
  • Owners and Managers use Clock In and Clock Out in the My shift card, or mark attendance per day with Mark attendance.

Clocking in from the cashier device saves time because the data lands without re-entry. For a deeper look at per-person performance, open Staff Reports, which compares the sales of each team member.

What the HRM Suite plugin adds

The staff list, shifts and attendance exist without any plugin. The HRM Suite plugin replaces the Staff menu with an HRM menu that adds:

  • HRM Dashboard: staff count, present today, on leave today, pending leave, upcoming holidays and open jobs.
  • Leave: staff request leave (annual, sick, unpaid or other), and a Manager approves or rejects. Pending requests also show in the bell, and several requests can be decided at once.
  • Holidays: a calendar of national, company or joint-leave days, for one store or all stores.
  • Payroll: salary records, payslips and a link to accounting.
  • Recruitment: jobs, candidates, interview scheduling and a public careers page.

HRM Suite costs Rp99,000 per month, or Rp199,000 per month as the Back-Office bundle with Accounting; the Enterprise plan includes it. Prices can change. The guide is at HRM: leave, payroll and recruitment.

Simple payroll: what it does and does not do

It is important to be honest about the limits. Payroll in Bakasir is a record you fill in: who, when, how much net salary, and paid by what. Bakasir does not calculate salary from attendance data for you. Calculating components such as deductions and employee income tax stays outside Bakasir, and you record the final figure here. How it works:

  1. In HRM → Payroll → Payroll Settings, choose the default payment method, the payday date and whether records go to accounting.
  2. Click Add Manually, pick the date and staff member, enter the net salary, payment method (bank transfer, cash or check) and status (Unpaid or Paid).
  3. On the salary row, download the payslip as a PDF, or send it by email or WhatsApp. Email needs an email address on the staff account, and WhatsApp needs a phone number.

When a record is saved as Paid and the accounting option is on, Bakasir writes a Salary expense so it appears in profit and loss as salary expense. Do not enter the same salary again under Purchasing → Expenses. A record that stays Unpaid past its date shows Overdue, so you do not forget to pay.

Recruitment and the careers page

When you need someone new, HRM → Recruit lets you open a job with department, location, job type and the required fields for applicants. Open jobs appear on a public careers page, which is your store address followed by /careers. Candidates move through stages such as Interview, Accepted or Rejected, and interviews are scheduled on a calendar. Candidate files are private and only for Owners and Managers.

Habits that keep staff management light

  • One person, one account. Do not share cashier logins, so the transaction trail stays clear.
  • Deactivate, do not delete, when someone leaves temporarily. Delete only when truly unnecessary.
  • Review attendance weekly, not at month end.
  • Match shifts to peak hours. The Peak hours heat map on the Dashboard shows when more people are needed; read the daily sales report checklist.
  • Turn on 2FA for staff in Settings → Security if you want an extra layer of security.

Next steps

Start by creating an account and PIN for each cashier, set up one or two shifts, then try clocking in from the cashier app for a week. Add the HRM Suite when you need leave, payroll or recruitment. Also see how plan staff limits affect your cost in the POS selection checklist.
